The Administrative Assistant provides reception and administrative support for executive-level staff.  They professionally greet, screen and direct visitors and guests, answer the telephone, and answer general questions. The Administrative Assistant works on special projects as they are assigned. As part of the Essential Functions for this role, the Administrative Assistant:

· Provides reception, clerical and general administrative duties for the corporate office

· Creates, prepares and types correspondence, minutes, project plans, and other documents; Provides administrative assistance to the Special Projects department

· Schedules meeting rooms and maintains the booking calendar; Maintains calendars for executive staff

· Delivers outgoing mail to distribution department to be rerouted or postmarked and picks up and distributes Administration mail on a daily basis; Opens and disseminates Association mail as requested/required

· Maintains supplies in the kitchen areas;  Orders supplies through the Purchasing Assistant

· Maintains cleanliness of reception and mail/copier areas

Qualified Candidate will have a High School Diploma and two (2) years experience working in a clerical support position. Experience providing administrative assistant to C-suite staff and executives highly preferred. Candidate must be able to communicate clearly and professionally in writing and verbally (in person and via phone), have accurate typing and editing/proofreading skills, and proficiency with MS Office software (Outlook, Word and Excel). Candidate must demonstrate excellent organizational and time management skills, sound judgment in decision-making, familiarity with fax, copy and postage machines, and work independently. Ability to multitask and attention to detail very important. Sensitivity to HIV/AIDS and lifestyle issues is essential.
