The Administrative Assistant provides all receptionist, clerical, phone and administrative support for the Information Systems department. As part of the Essential Function for this role, the Administrative Assistant:

· Serves as receptionist providing quality customer service in the Information Systems area directing clients, visitors, and vendors, and answers telephone calls and processes mail

· Creates, prepares and types correspondence, minutes, project plans, and other documents for Information Systems including Information Technology, Clinical Systems, and Database Systems

· Manages Information Systems orders; Assists managers in Information Systems department with contacting vendors, acquiring quotes, preparing purchase orders, and organizing receipt and order information; Prepares supply and vendor invoices for payments Captures all necessary referral information when receiving new patient referrals from outside healthcare providers

· Responsible for stocking and maintaining the cleanliness of the galley area

· Maintains receipts and reconciles reports

Qualified Candidate will have an Associate’s degree in Secretarial Science and one (1) year experience working in an office setting OR an equivalent combination of education and experience. Candidate must be able to communicate clearly and professionally in writing and verbally (in person and via phone), have accurate typing skills, and proficiency with MS Office software (Outlook, Word and Excel). Candidate must be able to use sound judgment in decision-making, familiarity with fax, copy and postage machines, and work independently when necessary. Ability to multitask very important. Sensitivity to HIV/AIDS and lifestyle issues is essential.
