The Administrative Assistant provides all receptionist, clerical, organizational and data reporting support to the Mental Health Counseling department. They are the front facing, first line of contact for patients and visitors of the Mental Health Counseling office, collaborating with and supporting team members to ensure a patient focused approach to care. As part of the Essential Function for this role, the Administrative Assistant:

· Serves as receptionist, directing clients/patients in the office while handling of incoming calls for the department, accurately scheduling new and existing patients and providing a positive, welcoming, customer service-oriented experience for the patient

· Manages the scheduling of interpretation services for non-English speaking patients

· Confirms appointments in advance

· Ensures the placement of patients with appropriate providers based on specialty and credentialing parameters

· Captures all necessary referral information when receiving new patient referrals from outside healthcare providers

· Ensures verification and eligibility of all insurances the day of appointment.; Scans insurance card into EMR; Collects all co-pays, sliding scale fees, and other fees associated with service

· Screens visitors, telephone calls and date stamps incoming medical documentation and paperwork; Routes calls to proper designated area within the practice, and addresses patient requests; Retrieves when requested all packages, deliveries and mailings

Qualified Candidate will have a High School Diploma and one (1) year experience working in an office setting OR an Equivalent combination of education and experience. Working knowledge of EMR systems (Medent) highly preferred. Knowledge of medical terminology strongly preferred. Candidate must be able to communicate clearly and professionally in writing and verbally, have computer skills including MS Office software (Outlook, Word), ability to multitask and keen attention to detail. Sensitivity to HIV/AIDS and lifestyle issues is essential.
