The Administrative Assistant (Southern Tier) provides reception, clerical and organizational support for  to Southern Tier staff . They professionally greet, screen and direct visitors and guests, answer the telephone, and answer general questions. As part of the Essential Functions for this role, the Administrative Assistant:

· Provides customer service to clients and visitors, answers telephone calls, and processes mail in conjunction with other front desk staff

· Assists staff with logistical aspects in the preparation of programs, meetings and special events Schedules meeting rooms and maintains the booking calendar; Maintains calendars for executive staff

· Collaborates with the AVP of Southern Tier Services and program staff on production of the Association’s newsletter and on providing updated information for the Association website

· Develops and implements improvements in general office systems and procedures, ensuring consistency and efficiency in each of the satellite locations as well as the central office

· Ensures consistency and accuracy of AIRS data.  Serves as the trainer and resource person for staff using the AIRS system, and liaises with the Director of Information Systems on data management issues; Responsible for the scanning of all required documents, e.g.: client enrollments, changes, closings, Penelope, GSI, and NetSmart

· Responsible for overseeing, ordering and maintaining accurate reports for the Southern Tier Food Pantry

Qualified Candidate will have an Associates degree with two (2) years experience working in a clerical support position or an equivalent combination of education and experience. Candidate must be able to communicate clearly and professionally in writing and verbally (in person and via phone), have accurate typing and editing/proofreading skills, and proficiency with MS Office software (Outlook, Word and Excel). Candidate must demonstrate excellent organizational and time management skills, sound judgment in decision-making, familiarity with fax, copy and postage machines, and work independently. Ability to multitask and attention to detail very important. Sensitivity to HIV/AIDS and lifestyle issues is essential.
